From our humble beginnings in 1998 ICANN has grown into a mature bottom-up, consensus driven, multi-stakeholder non-profit organization who's mission is to ensure a stable, secure and unified global internet. Now we have an exciting new opportunity in the Istanbul office for an Administrative Assistant to take over the day-to-day duties of keeping our office humming! The Administrative Assistant will be in charge of reception duties, general administration, meeting and travel arrangements to support the Istanbul hub office.
Key responsibilities
Reception duties:
- Ensure the efficient functioning of the front desk
- Handle incoming phone calls and welcome visitors
- Perform general clerical tasks such as photocopying, faxing, mailing and filing
- Book conference rooms, take care of refreshments and lunch orders when requested
General administration and office management support:
- Order office and kitchen supplies
- Enter purchase requests into the ICANN purchasing system
- Process invoices until payment confirmation
- Be the point of contact for the security, technical and cleaning crews
- Assist the Operations teams (Administration, Finance, HR, IT, etc.)
- Preparation of office rosters and other reports/analysis to improve office efficiencies & communication
- Perform duties related to office move/expansion project
Meeting and travel arrangements:
- Organize conference calls, meetings and special events
- Arrange business travels for staff and hotel reservations for visitors when requested
Other duties as assigned or requested
- Excellent oral and written communication skills in English and Turkish
- Excellent proficiency using MS Excel, Word, PowerPoint, Outlook, and Adobe Professional
- Excellent presentation, customer-oriented mindset
- Proactive, organized and detail-oriented
- Ability to work independently and to multi-task
- Ability to work in a fast paced multi-cultural diverse environment
- College degree or equivalent preferred
- Minimum 2 years of experience working in an office administration
- Prior international experience strongly preferred
- Office move & set up experience highly favored
- Demonstrated ability to support and work with cross-functional global teams
ICANN is a nonprofit public benefit corporation responsible for the global coordination of the Internet's system of unique identifiers. These include domain names as well as the addresses used in a variety of Internet protocols. Computers use these identifiers to reach each other over the Internet. Careful management of these resources is vital to the Internet's operation, so ICANN's global stakeholders (Registrars, Registries, Internet user groups, etc.) meet regularly to develop policies that ensure the Internet's ongoing security and stability.
